Having over 17 years over experience in the wedding planning industry we know exactly what it takes to ensure your perfect wedding and event!! When it comes to Day of coordinating, we handle everything you may or may not think of...before it even enters your mind! While most DOC's include an 8-10 hour day with a 1-2 hour break, and only 1 staff, here at ECR Designs our average day includes 14-16 hours of hands on wedding planning, where we take our breaks in shifts to ensure someone is always there to handle your requirements, and a minimum of 2 staff at all times! As well, at ECR Designs we believe Day of Coordinating actually begins the day you book us! When you book ECR we begin with a verbal or visual meeting (in person, phone or facetime/video chat), we discuss your entire day of expectations and detail everything. We ask for copies of EVERY contract to ensure all of your agreements with vendors are ensure the day of- you have enough on your plate that day! Let us make sure everything is as you paid for!! No matter where you are located, we will be there!!!
Some samples of other things ECR does when booked for day of coordinating include the following: * Any last minute Delivery of materials to and ceremony location (day of) * Facilitate hair/makeup & all other vendors timing- setup, breakdown * handle vendor requests * Handle delivery of gratuities if necessary * Handle floor plan changes * Confirm photo locations * Confirm all items are as bride/groom planned * Check in to hotel for client (if requested prior to day of) * Set up food drink prior to ceremony (if requested at location getting dressed!) * Assist bride with getting dressed * Maintain the emergency kit (standard for every ECR wedding) & makeup (client to provide to ECR for during ceremony, ECR or Bridal Attendant during reception) * Handle delivery of gifts to bridal party/bride/groom * Gather final payments to hand out * Set up items from bride/groom for ceremony and reception * Act as liaison with ceremony clergy and director * Handle any ceremony/reception "emergencies" for client * Line up bridal party for ceremony. * Ensure boutonnieres are properly attached * Ensure timely departure from ceremony for photos at reception location * Tie any untied bowties * Line up bridal party for processional/intros. * Confirm clergy will handle sending in marriage license, or ECR to take in order to mail in. * greet all reception vendors, confirm all are on location * instruct as to set up locations * Arrange escort cards & any diy items * Make sure flowers/decor are as per contract and photos sent to ECR from final meeting with florist/decorator * Ensure lighting is set if required for event * View cake to ensure it is correct, and what bride/groom ordered. * Add ribbon/flowers as necessary to cake * Confirm food timeline and ECR timeline matches venues * Handle any guest "issues" (personal requests not needing to be handled by client, venue etc.... Special meals, allergies, baby sitter needs, breast feeding/pumping locations, taxi necessities, pens for writing cards, etc...) * Look over dining/CH tables, ceremony set up, etc.. to ensure correct set up * Make sure bride/groom receive food to taste everything, or get wrapped up if allowed by venue to take home to eat. * Gather bride/groom (bridal party if doing intros) for introductions * Cue BM / MOH and parents for speeches/toasts * Prevent and fix any issues that may occur during the event. * Remain easily accessible throughout event in case there are any details that need to be attended to * Pack up gifts/ cards, drop off items, miscellaneous items etc, have ready to be taken to a family members car at the end of the night * Coordinate reception departure transportation for bride/groom and any straggling guests.
